How to Plan a Content Calendar for Your Small Business

Laptop on a clean desk used for planning a content calendar

Most small businesses post content in bursts. Three blog posts one week, nothing for two months. Daily Instagram before Diwali, silence in January. It's not a lack of ideas; it's a lack of a plan. A simple content calendar fixes that, and you don't need fancy software to make one.

Start with what you can realistically do

Be honest about time. Two good blog posts a month and three Instagram posts a week, done consistently, beats an ambitious plan that falls apart in week three. You can always scale up.

Choose three or four content themes

Themes keep your content focused and varied at the same time. For a jewellery brand, that might be styling tips, care and quality, behind the scenes, and customer stories. For a service business: how-to guides, case studies, common mistakes and industry news.

Mark the important dates

Open a calendar for the year and mark:

  • Festivals and gifting seasons relevant to you: Diwali, Raksha Bandhan, Karva Chauth, Holi, Eid, Christmas, wedding season
  • Your own launches, sales and anniversaries
  • Industry events and seasonal buying patterns

For SEO content, publish four to eight weeks before the season, so Google has time to find and rank it. A Diwali gifting guide published the week of Diwali is usually too late.

Fill in the calendar

A simple spreadsheet works fine. Columns for date, channel, topic, theme, keyword (for blogs), who's responsible and status. Plan a month or a quarter ahead, leaving some gaps for timely ideas.

Repurpose everything

One good blog post can become an Instagram carousel, a short reel script, a WhatsApp broadcast, an email and a few Google Business Profile posts. Planning around a core piece each week saves huge amounts of time.

Build a simple workflow

  1. Ideas: collect customer questions and keyword research in one list.
  2. Draft: write in batches when you have focused time.
  3. Review: check facts, links and tone.
  4. Publish: schedule posts in advance where possible.
  5. Share: repurpose across channels.

Review monthly

Look at what performed: blog traffic in Search Console, engagement on social, enquiries or sales linked to content. Do more of what works and drop what doesn't.
